Privacy policy

This page explains what information Seen & Heard handles, why, where it is kept, for how long, and what you can ask us to do with it.

Seen & Heard is not taking clients yet. This policy covers this website today, and how we will handle information for the businesses we work for. We will update this page, and the date above, before we take on our first client.

Who we are

Seen & Heard is a brand of JDAH Ventures Limited, registered in Ireland, company no. 821998, registered office 77 Lower Camden Street, Dublin 2, D02 XE80. We operate from Vilamoura, Portugal.

For anything about your information, email [email protected].

Two different roles

  • Our website, and businesses who talk to us or become clients. We decide how this information is used, so we are responsible for it.
  • The customers of businesses we work for. When we send a client's emails, answer their messages with Rita, or run back-office tasks with Nico, the business decides what the information is for. We handle it on its behalf, under a written data processing agreement, and use it only to do what the business has asked.

This website

  • No cookies, no analytics, no tracking. We do not set cookies and we do not measure your visit. The pages, fonts and images all load from this website.
  • Hosting. Cloudflare delivers this website. Like any web server, it processes your IP address to send you the pages and to protect the site from attacks.
  • Our forms. The free website check request and the "Book a call" and "Ask about" forms send what you type to our inbox, using Microsoft's Azure email service with its data kept in Europe. We keep it as described under "If you contact us". If a form can't send, it offers your own email app, Gmail or a copy to paste instead, and nothing reaches us until you press send.
  • The free quick check. When you enter a website address, our server reads that site's public homepage and a few public files, such as its sitemap, and asks Google's PageSpeed Insights service to measure its speed. We send Google only the website address. We do not store the address or the results.
  • Links to Facebook and getrita.pt. These are plain links. Nothing is shared with those sites unless you follow the link.

If you contact us

When you email us or book a call, we keep what you send: usually your name, your business, your email address or phone number, your website, and what you tell us about the business. We use it only to reply and to talk to you about our services, because you asked us to.

Our email is provided by Google Workspace. We delete these conversations once we no longer need them to talk to you, and in any case within 12 months of your last message, unless you become a client.

Businesses we work for

To provide our services we hold your contact and billing details, and the material you give us for your website, posts, brand and automations, such as text, photos, prices and logins we need to set things up. We need this to provide the service we have agreed with you.

We keep it for as long as you are a client. After that we delete it, apart from invoices and records that tax and accounting law requires us to keep. Your domain, content and brand files are yours, and we hand them over as set out in your agreement.

Your customers' information

  • Email lists. When we send a monthly email for you, we use only the list you give us, of customers who have agreed to hear from you, and every email includes a way to unsubscribe.
  • Rita. How Rita handles calls and messages is set out in Rita's privacy policy.
  • Nico. Nico works inside the accounts and tools you already use, with the access you give us, and only for the tasks we have agreed.

Never used to train AI

We use AI tools to draft and build, and a person checks the work. We do not use your information, or your customers' information, to train AI models, and we choose AI services that do not use it for training either.

Where your information is kept

We keep client information in the European Union wherever we can. Some of the companies we use, such as Cloudflare and Google, are based in the US. Where information reaches them outside the EU, it is protected by the safeguards the law requires, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses. We will list every company that handles client data on this page before we take on our first client.

Keeping it safe

Information is encrypted when it travels and when it is stored, and only the people who need it to do the work can reach it.

Your rights

You can ask us for a copy of your information, to correct it, to delete it, to limit how it is used, to object to how it is used, or to receive it in a form you can take elsewhere. Email [email protected] and we will reply within one month.

You can also complain to a data protection authority, in the EU country where you live or work or where you think something went wrong. In Portugal that is the CNPD, and in Ireland the Data Protection Commission.

Changes

When this policy changes, we update this page and the date at the top. If a change matters to a client, we tell them directly first.
